How to Write an Effective Business Letter That Get Good Results

Letter is a most important way of communication as it conveys your message to the person you want to. But Business letters are formal letters helps to convey your message to your business associate or associates in a very professional manner. There are certain principles that one needs to follow in order to write an effective business letter that creates a positive impact and generates good results from the benefactor. (A person whom we are trying to convey or convince) The some basic things one has to keep in mind while writing a perfect business letter are: - There are some specific rules and regulations for writing a formal Business Letter, which may not be in writing. - The Business Letters should compulsorily be written on the Company’s Letter head to create a positive impression. - Obviously for a formal Business Letter you language must be formal as a sign of respect and gratitude. - The person referred in the Business letter should be addressed by opening words like Dear Mr., or Dear Ms. (Ms. is written as you are not sure whether the female is married or not) , or Respected Sir or Respected Madam, or if you do not know the name you can write Director; or, CEO; etc. - To start with, firstly explain the reason behind writing this letter (in one sentence) and then directly write the letter in detail. For eg: Suppose you are writing a general letter or want to enquire about something you start with ‘…I am writing this letter to know about the ……. To convey sympathy to some official person you start with…’ I deeply regret on the sad demise….’ If you want to complain about something start with….’I am greatly disappointed for the fact that…..’ and further continue your letter with formal explanation of the cause behind writing this letter. - While writing a Business letter the language and the theme should be general and to the point despite of the your relation with the person to whom this letter is subjected. Business Letter is not only a formal way of communicating message but also acts as an important document which can be preserved as a record for future reference, if needed. The business letter must be written with complete concentration and in a clear language so as to convey the message very clearly and straightly. In case of a missed sentence or even a word for that matter, may land you up in a mess and give you a hard blow instead of working out positively for you. For eg: A letter for application of a job, one has to mention his complete expectations from the company clearly, as his impression as well as future earnings will obviously depend on this letter. Never use words like ‘don’t’ or ‘couldn’t’ instead use ‘do not’, or ‘could not’ as the later words sound more formal than the former ones. Use present tense and don’t try to show off. Moreover while closing your letter always use honest and gratifying words like ‘Truly yours’ or ‘Sincerely yours’ or Faithfully yours’ or ‘Thanking you’ or other regular ones like ‘Best Regards’ or ‘Sincere Regards’ etc… Believe in yourself and put in your best efforts and write a Business Letter that Gets You Good Results! (If you can’t do it by yourself, internet is always there to help you). Always remember “Word are mightier than Sword”.

Business Letter Writing - How to Write

Business letter writing is all about being formal and choosing your words correctly.  Not every self-proclaimed writer is good at business letter writing because the target readers are not the casual, every day readers.  This type of letter is aimed for companies, organizations, businesses or parties from high ranking social classes.   There are different types of business letters, but the format remains the same.  It may seem difficult at first, especially if you’re not the formal type, but business letter writing is actually very easy to learn.

Sender Information – The sender’s address and other contact details should be placed at the upper left part of the letter.

Date. The date when the letter was made should follow.

Recipient Information.  State the name of the company, if you’re writing to an individual, acknowledge his or her position in the company then write the business address.

Greeting – Usually, the first name of the individual being written to is not used in the gretting.

• Use “Dear Sir” or “Dear Madam” if you do not know the names of the people you are writing to.

• As much as possible use “Ms” for women unless you are specifically told to address them as “Mrs” or “Miss”.  If the recipient goes under a title, such as Dr. or Gen. use those instead.

• The greeting should be ended with a colon, not a comma.

The Body of the Letter – Make sure that you are direct to the point. Be concise about the reason you are writing the letter.  Do not use vernacular terms, a business letter should be formal.  Avoid using shortened form of words, instead of using “won’t” use “will not”.

• The first part of the letter should state a reference for your reason to write.
o With reference to our meeting scheduled the other day,
• Next you should state what you want. It could be for apology, confirmation or an inquiry.
o I would like to apologize for not being able to join you.
• The next statement should be written in a different paragraph.  It should contain a request or a confirmation for a request, if you have any.
o Could we make an appointment once again for another date?
• If another contact is to be made or if the mail has an attached document, address it before the closing.

o If you are interested, please give us a call immediately.
• Close your letter with a thank you.
o Thank you for your consideration.
• Finish the letter with a formal valediction with your name, and signature.
o Yours Sincerely, Yours Truly etc.

Forms and Spacing.
• Use block style, paragraphs should not be indented.
•  A single line should be used to separate two elements or paragraphs.
• Use two to three lines to separate the sender’s information and the date.
• After the date, use three to four lines before the details of the sender.
• After the valediction, use blank lines for the sender’s signature.

Business letters are used for many purposes such as to make inquiries, send replies, to place orders or bank correspondences etc. The main and the basic function of the business letter is not only to convey your message to the person who receives the letter but also to influence the reader. Following point can be used to make your business letter an effective business communication.

Language of business letter:

The language of business letter should be simple. It should not contain difficult words, phrases or technical jargons. It should have a smooth flow and should be easily understood or it should not require further explanation.

Avoid use of long sentences having many clauses. Sometimes the reader loses the beginning by the time he comes to the end of the sentence.

Avoid negative approach in the letter.

Avoid use of dull and uninteresting language. A letter with permanent style or with same tone of expression at all occasions may become stereotyped in due course. Sincerity of purpose:

Sincerity of purpose is important not only for human relations but also for business dealings. The letter should have an air of frankness and authenticity.

Give importance to the reader:

Avoid self-centered focusing on your own concerns or your business and focus on the recipient’s needs, interests, or purposes. This “you attitude” or recipient oriented style is very useful in winning new customers and maintaining old ones. It does not mean that you should use more of “you” in your letter but you should make recipient the main focus of the letter. However, you should be cautious not to overdo anything in your letter to avoid feel of deception, superficiality or ambiguity.

Adjust oneself to the reader:

Tune your sentences to the taste of the prospective buyer. Mention the advantage a buyer would get without praising your own firm.

Business letter represents the firm, organization or the business. It is like a salesman with a difference. A salesman can instantly rectify his mistake if he has said something that looks unpleasant, but a letter writer can’t.
