Technical Writing - Nine Common Tech Writer Documents

"Technical writer" can sometimes be a very loosely used term. This is especially true if you're working for a small or medium sized business.
As tech writers, we're often under the impression that we'll only be creating manuals, processes, and product specifications. But if you're working for a small or medium sized business, you could be asked to do a lot more than that.
Let's look at nine of the most common documents you could be asked to create as a technical writer:
1. Technical Manuals
Technical manuals are documents that present the prescribed method of performing a task related to a specific tool or process either mechanical or electronic. These documents are also called reference manuals/guides and installation or repair manuals/guides.
2. User Manuals
User manuals are documents that provide instructions for the use of a product. The principal difference between a technical and user manual is the assumption that the user is not familiar with the operation of the product. The information is presented based on this assumption so it may be on a more elementary level than a technical manual. These documents are also called user guides.
3. Tutorials
A tutorial is a document that is related to a tutor or tutors. For example - course material on how to perform tasks.
4. Product Descriptions and Specifications
Product descriptions and specifications are documents that describe the product on a detailed level. These documents could be a part of manuals and brochures.
5. Executive Summaries
These are one page documents found in the beginning of reports and business documents. It summarizes the document and gives the reader a high level overview of what the rest of the document covers.
6. RFPs and RFQs
Request for Proposal (RFP) and Request for Quotation (RFQ) are business documents that are submitted to companies asking them to bid for business.
7. Brochures
Brochures are marketing documents which have one purpose - move the reader closer to a sale. For example - a brochure about a pest control service.
8. Press Releases
Press releases give information about a product. Press releases are marketing pieces masked in the form of news. There is a perception that news and press releases are more credible than marketing documents. So companies use them to market their products.
9. Letters and Memos
As a tech writer you are most likely to write letters and memos for mailings to a large number of people either within or outside the organization. Note: memos are always meant for internal business communication.
When you're working as a full time tech writer, you may not create all these documents. But you should be aware of them. If you're planning on becoming a freelance technical writer, knowledge of creating these documents can increase your client base.

Career as a Court Reporter

Court reporters usually create word for word transcripts of speeches, conversations, legal proceedings, meetings, and other events when written accounts of spoken words are essential for communication, records, or legal proof. Court reporters play a critical role not only in court procedures, but also at every meeting where the spoken word must be conserved as a written transcript.

Type of Work:
Court Reporters write out audio files from legal procedures into written form. A court reporter normally works for law firms, insurance companies or legal services facilities. Court Reporters duties are sometimes undertaken by legal secretaries or paralegals that perform other duties in addition to transcription. There are several methods of Court Reporting such as Stenographic, Real-time Court Reporting, Electronic Court Reporting, and Videotaped Transcription.

Qualification and Training:
If you want to become a Court Reporter, you should take classes in court reporting, dictating notes, language composition and grammar rules, sophisticated typing or legal terms. Courses generally result in certification which can help you sheltered a position. Online Courses are also available which can help if you need flexible study hours due to work or other commitments. Some States require court reporters to be legal representative publics. As these are strictly regulated fields, these states necessitate certification for legal transcribers, too. Legal transcriptionists who wish to advance to work as a court reporter will also need to complete a state licensing exam.

Skills and Expertise:
The most essential attributes of court reporters are excellent listening skills and a broad understanding of complex legal terminology. They should also have excellent spelling and fast, precise typing skills. Proper training or experience of business law and the ability to multi-task are also important.

Employment and Career Development:
About 60 percent of court reporters work for State and local governments, a reflection of the large number of court reporters working in courts, legislatures, and various agencies. Most of the remaining wage and salary workers worked for court reporting agencies. About 13 percent of court reporters were self-employed. With further training and experience, a court reporter can go on to pursue careers as legal assistants or paralegal workers.

Earnings of a Court Reporter:
Both compensation and compensation methods for court reporters vary with the type of reporting job, the experience of the individual reporter, the level of certification achieved, and the region of the country. Official court reporters earn a salary and a per-page fee for transcripts. Many salaried court reporters supplement their income by doing freelance work. Freelance court reporters are paid per job and receive a per-page fee for transcripts. CART providers are paid by the hour. The Art of Technical Writing

HUH?

I sympathize with anyone who's ever had trouble assembling or configuring a product they've purchased because of the technical writing in the owners manual. As a former tech support specialist I've spent years interpreting tech-speak into English or just re-writing the material so that people understood the directions.

It's not polite to bash anyone. The circumstances surrounding each and every technical writing task are unique but the burden shouldn't be on the consumer.

Some manuals are like following a top end GPS system complete with pictures of the intersections and surrounding buildings. Other manuals read like secret code that only makes sense after you've found the cipher key that cracks the code.

Step By Step

Not only is a step by step approach to technical writing helpful to everyone but a major bonus feature for marketing professionals.

Some manufacturers actually include the steps on the outside of the packaging. Who doesn't want that? You've already read the directions and understood them.

However, just because you're providing steps doesn't mean that whoever gets to follow them will arrive at the same conclusion.

Clarity

I have 4 girls and not one of them hears the same set of directions or follows them the same way. This process:
•    Reading
•    Comprehending
•    Applying
isn't the same because different people process information based on personality, education and experience.

When you have to design a guide or manual it must be from the perspective of the person who has to process that information.

The Artistic Approach

Unless a variety of conversations have taken place between various people who've all tried to use your instructions beforehand, you can expect a few conversations after you've published your tech manual.

On the surface it looks more practical than artistic because including feedback before finalizing the book just makes good sense.

What makes for artistic writing of otherwise boring material is how well the information takes away any potential for confusion. Good art takes time to refine; great art takes even more time.

Why It Matters

Most people won't make a conscious note of the frustrations caused by the operating manual on their new hardware but the brand suffers.

That manual can keep tech support response time short or as in my experience busy re-writing the manual via emails so that customers can get on with their lives.

Any information that describes your product or service reflects on your brand. Since you don't want your brand to be ambiguous, you don't want any copy surrounding it to be confusing or frustrating; clear concise copy makes for satisfied customers.

What's easiest path for me to make money as a writer in the short term?

Need an idea on what to write about.?

ok well i have an assignment due for english which is supposed to be written in memo format ( basically a business letter style thing) its suposed to be 2 pages.

Write a short informal report to your supervisor about a problem thathas come up in an experiment, project, procedure, ect. Describe the problem and give two possible ways of solving it. Your report is supposed to contain technical information presented in a user-friendly manner.

This class is an engineering english class so ideas should be quite technical...


The key to doing well in Technical Writing for Engineers is not to pick a worthwile topic to write about, but pick something so obvious and easy that your instructor (likely an English Teacher, not an engineer) won't have that much to complain about.

It always helps if you can make your problem have an ethical delemma component too, then always make the ethical choice in your recommendation on what action to take.

For example:

You are the lead engineer with three other engineers working under your direction (You gots Leadership Skills!) on a project. The project is nearing completion and you have worked long and hard to be within the schedule and under budget. Then during product testing someone discovers a major safety flaw in you product. (Make it sound as Dramatic as possible.) Now, your choices are to either recall the defective products in the field with great expense to your company and reputation as a designer, or to analyze the risk of failure and injury, and advise your company's legal team to start looking into this matter. Do a cost-benefit analysis of each option, yata yata yata, then decide to recall the defective units.

If your memo is well written, you'll get an A.




But seriously, I had to take Technical Writing for Engineers 4 times because I kept trying to choose what I thought were worthwile and meaningful things to write about. I made the assignments so hard that I couldn't do them. Don't fall into the same trap as I did. Just pick some dumb little thing, complete your assignment on time, and get on with the important parts of your education. Can you say busy-work?

The optima specs for the batt that fits my car are:

Training Company?

I work for a custom training company that proves technical training, soft skills training (instructor-led and elearning), technical writing, custom training manuals and graphic design. I'm struggling with how to market our services and get clients. We spend lots of money on new marketing approaches and very few people sign up to take our classes. Please help. How can I get at least 10 people to register for a class. I've tried gorilla marketing - trade shows, email blasts, cold calling and I've just started to hand out flyers. Any other ideas?

Different topics need to be expressed in different ways but basically:

Title .....
as bare as possible eg an inquiry into . . . , facts about . . ., notes on pigmentation in bird eggs

Introductory paragraph
it outlines the topic and says what you intend to do/write about.

What info/ideas are already out there

What your ideas are
This is short or long depending what you have to offer

Some sort of conclusion - make sure you have done all the things you said you would do

Try that is won't lead you too far adrift. Bullet points etc may be used

How much can a technical writer make if he or she is very good at it?

And what areas are the most lucrative? Or what other well paid jobs could a skilled technical writer do?


I know a couple of technical writers. Their earnings are similar to those of teachers in public schools. They make a living, but they're not at the higher end of the middle class. My understanding is that steady work for a company which produces a wide array of products, and therefore needs tech writers all the time, is preferable to the piecework approach where smaller companies hire tech writers for more money--but there are long gaps without work.

The skill set involves more than being able to write clearly and tersely, with no ambiguity. It involves quick comprehension of whatever technology you're writing about, too, otherwise any English major could do it.

I would consider majoring in whatever technology science most interests you, and minoring in English.

Army MOS question: Public Affairs Spec.?

Soldiers, help me out here. I am enlisting in the Army, I am in my 30's and have earned a BA in English and am published. I am interested in only 3 MOS':

46Q-Public Affairs/46R Public Affairs Broadcast Spec.

I recently along with 59 other people were laid off from a DC based magazine and subsequently this has hurt my *credit*--is it true that you need a "top secret clearance" for this MOS? And if disqualified, what are other MOS' that don't need clearances that involve writing--it's my first love! Any suggestions would be appreciated--all the MOS' seem so technical in nature and I am NOT a numbers or math person--at all!

@Jeff, thank you!! I think we're the only two awake, I am writing. I am almost 40 so the 'Officer' route is closed to me :(


Don't worry about the clearance unless you've compromised yourself by having done something "bad" in your past and are denying it now. Having said that... you don't need a "Top Secret" clearance and if you get one, you won't know it until it happens (they do some background work that takes a while).

I was deployed with a CAB (civil affairs battalion) once and they had every MOS in the book. They were like a little portable government that showed up to help us settle out the area... among them were a few "reporters", a bunch of intel people, linguists and some special forces. There's a place for you to pursue your talents, you just need to get some professional career advice from someone who knows... recruiting.

Edit: BTW.. the reporter guy was packing a 9mm. It's the Army... you will learn how to kill and be expected to defend yourself and those around you. You probably won't be doing any "unbiased" reporting either.

This technical writing can also be said as a complex method and it is not like writing in simple English. Technical English writing targets only certain people who are using English as their primary language and not to other people who are using English as their second language.
